Team access and roles

A workspace includes three active member seats. A client who only submits a public request form does not need a seat.

Choose the right role

Role What the person can do
Owner Manage the workspace's operational records, team membership, billing, and data exports.
Admin Manage clients, projects, requests, and work within the workspace, without owner-only team and billing controls.
Collaborator Work with records available through their assignments, including subtasks, comments, files, and time as permitted.

A workspace Owner is not a platform administrator. Being an owner does not grant access to other customer workspaces.

Invite a teammate

  1. As an owner, open Account → Team. On mobile, use Menu → Team.
  2. Choose Invite Collaborator.
  3. Enter the person's email and choose Admin or Collaborator.
  4. Choose Send Invitation.

Invitations expire after seven days. Pending, unexpired invitations reserve seats, so a workspace can reach its limit before everyone accepts.

Accept an invitation

Open the link in the invitation email. If that email already has an SDM Workflow account, sign in to that account first; the invitation is not a substitute for its password. After signing in, return to the invitation and choose Accept Invitation.

A new user can enter their name and create a password through the invitation form. If you are signed in with a different email, sign out and use the invited address.

Change or remove access

Owners can open Team → Manage Access for a member to change their workspace role or remove their membership. Removing someone from this workspace does not delete their personal account or change their other workspaces. A workspace must retain at least one owner, and you cannot remove yourself through the member-removal control.

Switch workspaces

If you belong to several workspaces, use Account → Switch workspace or the workspace choices in Menu on mobile. Check the selected workspace before creating or assigning work. Team and assignment lists belong to that workspace.
